Hi I answered the below question with the attached document.

"Choose an organisation with which you are familiar. It could be somewhere you have worked or visited. It might be a public library, school, sporting club etc.

Assume you need to develop standards which will be used to create new documents. Identify and report on the organisation’s requirements for information entry, storage, output and quality of document design and production."

The question here is asking for you to consider the devices and software which are used by the organisation. If possible, after reviewing documents which have already been produced, you would need to identify the formatting and layout specifications which are used.

o I am familiar with a clinical organisation and the following discussion relates to the
standards of creating new documents in a
clinic or healthcare organisation Requirements for information Entry
o Entry of information should follow the clearly written procedures to prevent errors and permit the retrieval of documents when
needed.
o The documents should be designed, prepared, stored and
distributed with care.
o The content of the data should be unambiguous.
o The documents need to be reviewed on a regular basis and kept
up-to-date
o Any correction to be made on the document should be
authorised and then signed.
o Documents that are essential to the organisation such as
compliance documents should be backed up by being stored on
duplicate files and use of hard disks and other storage mean Storage, Output and Quality of
Documents
o All documents should be clearly labeled and named to facilitate quick and easier retrieval.
o The storage of the information should be
economical
o Documents are stored in a secure way in
cabinets, files and computer system.
o Documents should not be mixed up when
storing
o All archived boxes have their contents
