Hi Sam,
This is your supervisor Ron Miller calling I learned in this morning management meeting that several changes have been made to company’s vacation policy. I am calling to alert you             to the new vacation policy and the new regulations being implemented. In the new vacation policy employees with three or less years of service will now have a full week of paid vacation. Employees that have between 3 and 5 years of service will now have two full weeks of paid vacation while employees with 5 years or more of service will be offered 3 full weeks of vacation. In accordance, with this new policy employees must now submit a vacation request at least one month prior to the vacation date. Employees are also required submit a vacation to their direct supervisor keep in mind though no more than two employees in any one department can be on vacation at the same time. Since these policy updates are being implemented soon I need for you to write and send a notification email to our department members about these policy changes. In your email please address all the vacation policy changes I have shared with you and make sure to use the correct email format as you work on this. I would also like for you to follow the appropriate netiquette rules for electronic communication and ensure that your email is one or two paragraph length and meets the 250 to 300 word minimum.
