Initial Meeting for School/Family/Community Partnership Evaluation Protocol
In week 1 you met with your campus mentor to plan and organize the initial meeting of the SFC partnership evaluation stakeholder committee. You have also reflected and planned how you can best communicate and foster a collegial climate within the stakeholder group. As you begin the meeting with a welcome, introductions of participants and presentation of the meeting agenda, you will provide an overview of the evaluation process; sharing the School/Family/Community Partnership Evaluation document with stakeholders. You may consider discussing how your campus values support and partnerships with families and community members in improving student learning. Also, plan to ask a colleague who is attending the meeting to take minutes so that you have a record of the actions and conversation in the meeting.
When stakeholders come in to the meeting, ask them to sign in and provide demographic information on the sign-in sheet. You will use this information in your SFC Partnership Evaluation Report that you will complete in week 5, although names will not be included in your report. The demographic information helps you to recognize experience as well as diversity on your campus and in your community. In the demographic sign-in form, administrators and counselor(s) will provide years of experience as well as ethnicity. Teachers on this stakeholder committee will provide years of experience, grade level or content as well as ethnicity. Parents will be asked to provide ethnicity and grade level(s) of their children. Community members and business representatives will be asked to share their ethnicity on the sign-in form. After the meeting, go the the TAPR (Texas Academic Performance Report) on the TEA website: https://tea.texas.gov/perfreport/tapr/index.html and provide your campus demographic information found in the TAPR. Add this information to the demographic information sign-in sheet.
Provide an explanation for how stakeholders will complete the evaluation document. Each member of the School/Family/Community partnership evaluation team will independently complete the evaluation form. Once all stakeholders have completed the evaluation, express appreciation for their time and commitment to the partnership evaluation process. Provide information to committee members on the date, time and location of the next SFC stakeholder committee meeting and plan to follow up with an email or other communication. Explain that the evaluation forms will be analyzed and the results will be reported at the next meeting (week 4 of this course). Also, let your stakeholders know that based upon the results of the evaluation data analysis, the committee will discuss and suggest possible partnerships to address needs identified in the analysis that will support student learning. Recognize your stakeholder group as being valued in your school for their support and participation.
